Role Purpose

As a Strategic Reinvention Office (SRO) Project Coordinator, you will play a key role in supporting the planning, execution, and delivery of SRO projects across the organization. You will work closely with the Program Management Office (PMO), project managers, team members, and stakeholders to ensure that projects are completed on time, within budget, and according to quality standards. You will assist in coordinating project activities, tracking progress, managing documentation, and communicating updates to stakeholders. This position emphasizes the coordinated management of multiple sub-workstreams to ensure delivery in an efficient and effective way at pace.

Essential Responsibilities and Tasks:

  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Project Planning: Assist PMO, project and program leaders in developing project plans, schedules, and budgets, and ensure that project objectives, deliverables, and timelines are clearly defined and communicated to team members and stakeholders.
  • Resource Coordination: Coordinate project resources, including personnel, equipment, and materials, to ensure that project activities are adequately resourced and that project teams have the necessary support to complete their tasks.
  • Task Management: Assist in assigning tasks to team members, tracking task progress, and monitoring task dependencies to ensure that project activities are completed on schedule and according to project plans.
  • Communication: Facilitate effective communication among project team members, stakeholders, and external partners. Ensure that project updates, status reports, and other relevant information are communicated promptly and comprehensively to all relevant parties.
  • Risk Management: Assist PMO, project and programs leaders in identifying, assessing, and mitigating project risks and issues, and ensure that risk mitigation strategies are implemented to minimize the impact on project outcomes.
  • Documentation: Assist in the creation and maintenance of project documentation, including project plans, meeting minutes, action items, and other project-related documents, and ensure that project records are accurate, up-to-date, and accessible to project team members and stakeholders. Develop and design visually compelling PowerPoint presentations to effectively communicate project kickoffs, plans, status updates, and outcomes.
  • Change Management: Assist in managing changes to project scope, schedule, and budget, and ensure that change requests are documented, evaluated, and approved according to established change management processes.
  • Meeting Coordination: Organize and facilitate project meetings, including kick-off meetings, status meetings, and milestone reviews, and ensure that meeting agendas, minutes, and action items are documented and distributed to relevant stakeholders.
  • Continuous Improvement: Identify opportunities for process improvement and efficiency gains in project management practices and processes, and make recommendations for implementing best practices and tools to enhance project delivery.
  • Other job duties as assigned.

Special Working Conditions:

  • Ability to work at a computer for long periods of time. 
  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.

Experience, Education and/or Training:

  • Bachelor’s Degree is required, preferably in in Business Administration, Health Care Administration, Human Resource Management or related field.
  • Certification in Project Management is preferred.
  • Proven experience (2-5 years) in project coordination or related roles, with a focus on supporting mid to high level complexity (multiple sub-workstreams) projects and initiatives.
  • Strong understanding of project management principles, methodologies, and tools, with experience in assisting with project planning, execution, and delivery.
  • Excellent organizational and time management skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced and dynamic environment.
  • Strong communication and interpersonal skills, with the ability to communicate effectively with project team members, stakeholders, and external partners, and build positive relationships.
  • Detail-oriented and analytical, with the ability to identify issues, solve problems, and make decisions based on data and information.
  • Preferred: Experience working with project management tools and software, such as SmartSheet, Microsoft Project, JIRA, or Asana.
  • Previous healthcare/veterinary experience is preferred

Salary: $59,682 - 89,523
